How to Create an Airbnb Guidebook in 10 Minutes
How to Create an Airbnb Guidebook in 10 Minutes
Every guest who walks through your door has the same questions. Where's the WiFi password? How does the coffee machine work? What's the best café nearby?
You can answer these questions over text, one guest at a time. Or you can create a digital guidebook once and let it do the work for you.
Here's how to build one in about ten minutes flat.
Why a Digital Guidebook Beats a Paper Folder
Paper binders get coffee-stained, pages go missing, and updating them means printing everything again. A digital guidebook lives on a URL. You update it from your phone. Guests access it before they even arrive.
Digital guidebooks also let you include interactive maps, clickable links, and even videos. Try doing that with a laminated sheet.

What You'll Need Before You Start
Gather these details before you sit down to build:
- Property basics: address, check-in/check-out times, WiFi name and password
- Appliance instructions: anything that's not immediately obvious (pool pump, heating, smart TV)
- House rules: the essentials, kept short and friendly
- Local recommendations: your favourite cafés, restaurants, beaches, or walks
- Emergency contacts: local hospital, your phone number, a backup contact
- Photos: a few shots of the property, especially tricky things like lock boxes or parking spots
Having this ready means you won't get stuck halfway through.
Step 1: Choose Your Guidebook Tool
There are several digital guidebook apps out there. We built Guest Loop to be the simplest option for hosts who want something professional without spending hours on setup. You can compare the main options in our best digital guidebook apps roundup.
For this walkthrough, we'll use Guest Loop since that's what we know best.
Step 2: Create Your Property
Sign up and click "Add Property." Enter your property name, address, and upload a hero photo. This becomes the cover of your guidebook.
Pick a theme that matches your property's vibe. Coastal cottage? There's a theme for that. Modern apartment? Sorted.
This takes about two minutes.
Step 3: Add Your Check-In Details
This is the section guests care about most. Include:
- Directions: how to find the property, including landmarks ("turn left after the blue letterbox")
- Parking: where to park and any restrictions
- Key access: lockbox codes, smart lock instructions, or key pickup details
- WiFi: network name and password in plain text so guests can copy-paste
Add photos where they help. A picture of the lockbox location saves you from the "I can't find it" message at 10pm.
Step 4: Write Your House Rules
Keep them short, friendly, and scannable. Nobody reads a wall of text. Use bullet points and a conversational tone.
For more on this, we've written a full guide on how to write house rules that guests actually read.
Step 5: Add Local Recommendations
This is where your guidebook goes from functional to genuinely helpful. Add your top picks for:
- Coffee and breakfast
- Dinner spots (include a budget option and a special occasion spot)
- Groceries and essentials
- Activities and attractions
- Beaches, walks, or parks
In Guest Loop, these show up on an interactive map so guests can tap and get directions instantly.
Step 6: Include Appliance Guides
If your property has anything that requires instructions, add it here. Common ones:
- Air conditioning or heating controls
- Pool or spa operation
- BBQ setup
- Smart TV apps and streaming logins
- Washing machine cycles
A 30-second video walkthrough works brilliantly for complicated appliances. Just film it on your phone and upload.
Step 7: Set Up Your QR Code
Guest Loop generates a QR code for each property. Print it out and stick it somewhere visible, like the fridge or the entryway. Guests scan it with their phone camera and the guidebook opens instantly.
You can also send the guidebook link in your pre-arrival message. We cover the QR code workflow in detail in our post on QR code check-in for hosts.
Step 8: Preview and Publish
Hit preview to see your guidebook as guests will see it. Check it on your phone since that's how most guests will view it.
Make sure links work, photos load, and the information is accurate. Then publish.
That's it. Your guidebook is live.
Keeping It Updated
The beauty of a digital guidebook is that updates take seconds. Restaurant closed down? Delete it. New café opened? Add it. Changed your WiFi password? Update it once, every future guest sees the new one.
Set a reminder to review your guidebook every few months. Seasonal updates are worth doing too, especially for local recommendations that change with the weather.
What Happens After Guests Scan
With Guest Loop, when a guest opens your guidebook, you can optionally capture their email address. This opens up the ability to send follow-up messages, request reviews, or offer direct booking discounts for their next stay.
It's a simple addition that can transform one-time guests into repeat bookers.
